Habits in your coaching business

This week’s post gets you to explore the habits you have developed in your work and with your business.

Habits defined = Habits are the activities we undertake on a regular basis, consistently and often sub-consciously so we don’t know what they are. They are the things we revert back to in times of stress or pressure. It’s important that we are aware of these as they may, or may not, be in service to us.

Why they are important? Habits become automatic and sometimes unconscious ways of doing things. These can be in support of the business or not.
Consider these different habits coaches may find themselves practicing. Decide whether they would be in support to your work, or not:
  • Spending 30 minutes a day on social media
  • Dedicating several hours once a month to making sure invoicing is complete, and expenses are entered
  • Dedicating an hour a week to writing blog posts so they are ready for scheduling
  • Getting to the gym, or pool, for a workout several times a week
  • Earmarking time each month for a professional development activity
In the Coaching Business Builder Workbook and Planner on pages 23- 29, I get you to consider your habits as part of the things “below the waterline” of your business.

If you have the book, take a few minutes to work through this section. Otherwise, reflect on what habits you have developed in your business, and how these are helping, and hindering, you.

Make a list and note any changes you want to make.

Historically, it has been thought that we take about 21 days to develop a new habit, whereas now it seems like it it more in the 60-day range. Check out this article by James Clear.

1 Biz Step a Day - April: Check It Off!

One of the micro-projects I've enjoyed working on this year is the 1 Biz Step a Day series. Have you checked it out yet?
Each month I am providing a series of daily action prompts. The Coaching Business Builder suite is grounded in the notion that "Consistent Action + Daily Steps = Momentum". With this in mind, I created this year's 2019 1 Biz Step a Day series.
This month, in April, the theme is Check it Off!
Given that this month marks the 15th Anniversary Celebrations of my business Potentials Realized, I've grown accustomed to, and look forward to, the satisfaction of "checking things off" my list for the business, knowing that somehow it keeps moving things along.

End of Quarter Business Reflection

It’s officially the end of Q1 of the year, and yet another reason to pause and take stock of your successes from the last quarter and some planning for the month ahead.

Looking backwards to the last quarter:
  • What successes did you have over the last quarter?
  • ​What major accomplishments did you have?
  • ​What were key lessons learned?
  • ​What habits or practices helped you?
  • What role did planning play?
  • What forms/templates and practices supported your focus and planning?
  • What got in the way?
  • What do you want to make sure you don't carry forward into this season?

Now turning to the next quarter’s planning:
  • What are your goals for April, May and June?
  • ​Narrowing it down, what are your top 3- 5 priorities? (Think - by June 21st I hope to have achieved)
  • What time are you earmarking for planning?
  • What time is earmarked for projects?
  • What new habits and practices do you want to put into place?
  • What relationships do you want to put more focus around?
  • ​What is one thing you could do on a daily basis each day of spring to move your goals forward?
  • What relationships do you want to put attention around?
  • ​What do you need to, and want to take action on?
  • What needs clearing up?
  • What else is significant for you this quarter?

Finally...
​What pauses and renewal periods do you want to build in? Grab a calendar and schedule that now.

​What else will help you remain at your peak?

Clean Sweep for Spring: Coaching Business Download

Happy Spring! As we step into a new season, I hope that you will take a few minutes to take stock of the winter – your accomplishments, learning and achievement. Take a look at the Quarterly Review questions I shared a few months ago here. 

Today I wanted to remind you of the resource available to you here - the Weekly Sweep for Your Business. This is a one-page document you can use on a weekly basis to undertake a sweep of your work or business.

The “Why” behind this document is that regular actions clear things out. As we move into a new season, there may be more energy to get things organized.

If you haven’t downloaded a copy of the Weekly Sweep for your Business document, download it here.

As you will note at top of the Sweep for your Business, get you to outline your key priorities for the week around:
  • Planning,
  • Doing,
  • Tracking
As well as key goals in the areas of
  • Business
  • Your Environment (home, office, etc)
  • Yourself

The next section gets you to outline your goals for the next seven days, with prompts for possible tasks scattered across the week. These include things such as – administrative tasks, outreach to clients/prospects, content creation, and taking 15 minutes to clear some clutter.

On that note, it doesn’t need to take a lot of time to get things into order. 15 minutes at a time can make a big difference to a cupboard, a table, a filing cabinet or your email. Set the timer and see what you get done in 15 minutes!

Boundaries in Business

Building a business can be all-consuming. While it may be important to “push it” at several times of the year, building a business sustainably also means building in blocks to renew, and setting boundaries in terms of when you are available and when you may not be. In this post, we’ll explore three areas you might want to consider in tightening up your boundaries in business.

Boundaries in business can involve:

Learning how to delegate. Consider the tasks that could be passed on to others. This might include posting your articles on social media, designing graphics for your work, laying out brochures or other.
  • Putting it into practice: Look at all your tasks for the next few months and consider what could be delegated. Consider the tasks that are taking a lot of time for you right now, but don’t really require your involvement. Make a list, put some time frames around it, and think about what instructions you would give so someone else could complete this.

Time at work – As a business owner the work will always be there. It’s important to remember that productivity does not always equal amount of time worked. Many of you took advantage of the Heart of Coaching Giveaway item I shared this year which was the 19 Productivity and Business Development Tips. I’ve now made this into a video-based program which also includes a series of bi-weekly live calls. You can join us here.

Becoming more discerning. Check out the blog post I included over at the PlanDoTrack blog a short while ago on discernment. You can search out the PlanDoTrack blog posts here.

Questions to help you with discernment:
  • What is really important to the business right now?
  • What are the activities that are having the impact I want?
  • What are the things my clients are asking for?
  • What support am I able to offer in a high-impact way?
  • What tasks could be systematized or automated? Think about things which are taking time and are done repetitively.
  • What are the items which are taking away focus on the main parts of the business, and revenue generation?
  • What do I need to say NO to and either Defer, Delete or Delegate?
  • What do I need to say more YES to – and focus even more on!

5 Key Skills in Project Management for Any Solopreneur

This week our attention is going to shift to quickly explore 5 key skills in project management. Whether you are creating an e-book, designing a new program or deciding on new systems for your business, as solopreneurs we are regularly managing projects as a team of one.

In project management, historically, the foundation has been that for any project there is a triple constraint – time, budget and scope. Like a triangle, it is said that these things are fixed (at least in traditional project management). So if my budget gets reduced, it might take a little longer to do things as we now need to do them in-house OR the scope of the project may change given that we no longer have resources to complete a six month project, so instead we may need to do a three month project.
 
With this in mind the first project management skill I think is important is getting good at identifying project requirements.
  • What is the project?
  • What are the deadlines?
  • What are the milestones along the way? These are checkpoint activities where you can see progress?
  • What resources are needed? Project manager of all kinds have operated in this framing of being aware of the triple constraint ….
Other key questions to be asking here are:
  • What is the project scope?
  • What’s involved with it?
  • What is IN focus? What is outside of focus (or scope)?
 
Spending additional time making sure we have this first step of project requirements right, helps to make the rest of it flow more smoothly (usually!).
 
It was in this phase of project identification that I first became aware of the adage that “10 minutes of planning can save 2 hours of unfocused effort”. So true!
 
With this is in mind, let’s look at five key project management skills that solopreneurs will want to boost:
  1. Knowledge of self and skills – Self- awareness is key to solopreneurial success. Knowing what we are good at, what we can learn, and when we need to reach out to others, can make the difference between a project that flows and one that gets deadlocked or becomes a source of frustration. In knowing ourselves, we want to be able to identify key skills which are important in the immediate term, as well as ones we will be using regularly. Creating a robust network to reach out to, to find others short term who can round out of skill needs, is critical for solopreneurial success. “No person is an island!”.
  2. Time estimation – Estimating the amount of time required for a task is also critical. One part of this equation is getting better at knowing how long tasks really do take. Part of this is experience, and we may have peers and mentors that can advise us. It can be useful to build in some contingency time for our own learning curve, given that tasks will take longer to complete the first few times we do them, or if we do them infrequently. I’m thinking of a recent experience I had where I had to set up a welcome auto-responder for a give-away. I do this about once a year and while I should “retain it”, it was as if the task was totally new!
  3. Clarifying what’s required - Given that most of us are working on our own, we will be needing to reach out to others to help us get work done. Whether it’s going to a site like Fiverr or Upwork, finding good experts (graphic designers, financial experts) that can work with us to make our projects happen, is crucial. In making this successful, we need to be good at clarifying what’s required (think – What will a successful end result for this project/task look like? – be specific, get granular), as well as finding people.
  4. Relationship Building and Negotiation – At the end of the day, things need to get done and projects need to get completed. If we can’t complete projects, it may have a significant impact on the business. As solopreneurs, we can’t go to a boss to negotiate the triple constraint – i.e. give me more time to complete this or give me more money – we have that under our control. In some ways this makes project management that much easier. What is may mean is that we need to go out and enroll others to our projects – requiring both relationship-building and negotiation skills.

What do you want to focus on this year? Consistent Action and The Flywheel

"The best companies never transform to greatness in one fell swoop. There is no single defining action, no grand program, no one killer innovation, no solitary lucky break, no miracle moment. Sustainable transformations [to greatness] follow a predictable pattern of build-up and breakthrough. Like pushing on a giant heavy flywheel, it takes a lot of effort to get the thing moving at all, but with persistent pushing in a consistent direction over a long period of time, the flywheel builds momentum, eventually hitting a point of breakthrough." (Jim Collins, Good to Great). 

As you think abut your focus this year, what is the one thing you want to do consistently throughout they year, to start generating the momentum Jim Collins talks about. Perhaps it’s regularly focusing on:
Writing – What is the book you have in you that is waiting to get out? Is there a series of articles or blog posts?
Photography – Are you looking to share more about what you do, who you are, and the impact your conversations are having through photography? Instagram continues to grow in terms of popularity and video engagement is critical.
Building community – Are you looking to host a group this year? Life, paid, or on Facebook? Are you looking to network more and build relationships virtually or in person? What would consistent action in creating community look like for you?
Speaking – What could a focus on speaking look like for you this year? What topics would you present on? What would the top 3 bullet points be? Who is your audience?

If there was one thing you could do consistently every day this year, what would it be? Schedule it in now, and notice what happens!
